About the Role

At Holiday Inn Gurugram Sector 90, an IHG Hotel, we are committed to delivering True Hospitality through operational excellence and responsible resource management. We are seeking a proactive, organized, and detail-oriented Purchase Executive to support the hotel's procurement operations by ensuring the timely sourcing and purchasing of quality products and services at competitive prices.

The ideal candidate will have strong vendor coordination and negotiation skills, a sound understanding of procurement procedures, and the ability to maintain quality standards while ensuring cost efficiency and compliance with hotel policies.

What You''ll Do

• Manage day-to-day purchasing activities to ensure the timely procurement of food and beverage supplies, operating equipment, general supplies, and other hotel requirements.
• Source reliable vendors and suppliers, obtain quotations, and compare prices, quality, and delivery timelines to achieve the best value.
• Negotiate pricing, payment terms, and delivery schedules with vendors while maintaining quality standards and cost efficiency.
• Prepare and process purchase orders in accordance with approved requisitions, budgets, and procurement procedures.
• Coordinate with department heads to understand purchasing requirements and ensure timely fulfillment of orders.
• Maintain strong vendor relationships and regularly evaluate supplier performance, product quality, pricing, and service standards.
• Ensure that all purchases comply with hotel policies, approved specifications, authorization procedures, and applicable IHG procurement standards.
• Coordinate with the Stores and Finance teams to verify deliveries, resolve discrepancies, and ensure accurate documentation and invoice processing.
• Maintain updated vendor databases, quotation records, purchase orders, and other procurement-related documentation.
• Monitor market trends and price movements to identify cost-saving opportunities and improve procurement efficiency.
• Assist in maintaining appropriate stock levels by coordinating with the Stores team and avoiding unnecessary purchases or excess inventory.
• Ensure that all procurement activities are conducted ethically, transparently, and in accordance with established financial controls.

• Support periodic vendor reviews, procurement reports, and internal or external audits as required.

   

What We're Looking For

• A bachelor’s degree or diploma in Commerce, Business Administration, or a related field is preferred.
• Previous experience in purchasing or procurement, preferably within the hospitality industry.
• Knowledge of hotel purchasing procedures, vendor management, quotation analysis, and purchase order processing.
• Strong negotiation, communication, coordination, and relationship management skills.
• Proficiency in Microsoft Excel and procurement or inventory management systems; experience with hotel procurement software will be an advantage.
• A high level of integrity, accountability, and commitment to ethical purchasing practices.

• A collaborative approach with the ability to work effectively with Stores, Finance, Food & Beverage, Kitchen, and other operational departments.
