Duties and Responsibilities As Assistant Director of Groups and Events, I will assume full responsibility for the efficient operation of the Group and Events section to provide exceptional products and services within the brand's operating standards. My key role is to identify prospective customers and establish goals for key accounts by analysing historical and other statistical information for market segment, account mix goals, etc. The duties and responsibilities will include: - Supervision and overall responsibility for Event Strategy and Operations, including maintaining and monitoring the accuracy and effectiveness of all written communication from the Strategic aspect of the Group and Events Sales Manager to its turnover to the Group and Events Manager. These procedures include but are not limited to: Proposals, LOA/Contracts, Turnover files, Banquet Event Orders, Group Resumes, Weekly Events Report, and Zero Balance Report for the after-event reporting.
- Actively prospect and solicit, develop, and maintain local partner accounts through telephone, personal sales calls, trade shows, and on-site entertainment.
- Supervise the execution of banquet events. Review all function spaces with the banquet manager when necessary. Ensure the satisfaction of the client at the outset of all events.
- Plan and/or attend and/or participate in meetings with resort host and clients, including but not limited to: Morning Operations Briefing, Banquet Event Order Meeting, Sales Meeting, Pre-Convention Meetings, HOD Operation meetings, Menu Tastings and Planning Site Visits.
- Assist with all inquiries within the sales, marketing, and Group and Event department, including assistance with high telephone volume and walk-in site inspections.
- Maintain an understanding of Conference Services and, when required, assume an active role.
- Act as the liaison for all vendor/supplier related clients' needs, (i.e. Audio Visual, Florists, Entertainment, Transportation, DMC, Off-site Locations etc)
- Contribute to the preparation and analysis of the Group and Events and conference services weekly 3-month financial forecast, month-end financial summaries, and contribute to the annual Marketing Plan and Budget.
- Maintain an active and visible role in the local business and social community to generate new business, recruit future employees and managers, and support the public relations efforts of the resort.
- Periodically and ensure maximum effectiveness of Banquet Event Order Meetings and Resume meetings.
- Perform other tasks or projects as assigned by hotel management.

Qualifications To execute the position of Assistant Director of Group and Events, I must have the required qualifications, technical skills, and experience in a similar role in luxury hotels with proven results, including the following: - Possess some College plus 1-2 years of sales or related experience, or equivalent combination of education and experience. Bachelor’s degree in hospitality, Marketing, Hotel, or Business Management and more than five years’ experience in a senior sales and marketing role, preferred.
- Fluent in English; I understand that additional languages are preferred.
- Five Years of experience in a Group and Events operation or as a Conference Services Manager in a full-service resort or hotel.
- Basic knowledge of audio-visual equipment, the internet, and telecommunication technology.
- Familiarity with sales processes and group and events management software.
- Computer literacy to include MS Word, Excel, and the ability to use e-mail and the Internet.
- High level of creativity with food and beverage menu proposals.
- Proven interpersonal skills with a track record of successful client interactions.
- Coaching and People Development Skills
- Good organizational skills.
- Indonesian Citizenship.
